What's inside
Eleven worked templates, one PDF guide. Every template has been tested on real events.
Event Overview sheet
Single source of truth — name, date, venue, host, target headcount, total budget. Every other sheet pulls from here.
Budget Tracker (with formulas)
8 categories, % targets, estimate / committed / paid columns, auto-calculated totals and variance. Red-flags overspend before it bites.
Guest List & RSVP
60 starter rows for invites, status, plus-ones, dietary tags, table assignments, gift log, thank-you tracking. Auto-counts at the bottom.
Vendor Tracker
8 starter rows for the 6 core vendors plus hair/makeup and day-of coordinator. Quote, deposit, balance, due date, day-of contact, the 8 questions.
12-Month Timeline
All 34 master tasks in chronological order. Day-of rows highlighted. Adapt spacing for shorter timelines.
Run-of-Show
Time-by-time schedule for the day. Print for every vendor and helper. 15-minute buffer rows pre-suggested.
Day-of Contacts
Every vendor's on-site lead, phone number, arrival time. Print + carry on the day.
Master Checklist
37 tasks across all 5 phases. Auto-progress %. Tick tasks across phases — it's the closest thing to a project plan most events ever get.
Photo Shot List
21 must-have shot categories for the photographer. Send 2 weeks ahead. Tick on the day.
Emergency Kit
24-item packing list across Tech, Stationery, Wellness, Repair, Comfort. Pack the bag the day before.
21-page PDF guide
Companion guide covering the 5 phases, the 8 vendor questions, budget framework, day-of execution, the 5 mistakes, event-type adaptations, regional notes (US/UK/India/EU/UAE/SEA), and email scripts.
Built for
Wedding hosts
All the templates above, wedding-tuned. Especially the Photo Shot List and 12-month timeline.
Corporate event teams
Run-of-show, vendor tracker, budget allocations for AV-heavy events. The PDF's regional and corporate-event chapters.
First-time hosts
The 5-mistakes chapter alone is worth the kit. The Master Checklist makes sure nothing falls through.
Event planners
Use as a client-facing template. White-label the spreadsheet for your clients.

Frequently asked
Do I need Microsoft Excel?
No. The .xlsx file works in Google Sheets, Apple Numbers, LibreOffice, Excel for Web (free), and Excel mobile. Formulas use standard SUM / COUNTIF / IFERROR — they work everywhere.
Can I use this for events outside the US?
Yes. The PDF guide includes regional notes for US, UK, India, EU, UAE, Singapore/SEA, Mexico, and East Asia. The Excel currency is editable; change USD to ₹/€/£/A$ in the Event Overview sheet.
Is this a one-time purchase or a subscription?
One-time. You download the files and they're yours forever. Early-access downloaders also get free updates when we add new templates.
Can I use this for client work as an event planner?
Yes. The kit is licensed for personal and small-business use, including client-facing planning. Don't redistribute or resell the files themselves.
Why is it free right now?
We're in early access — gathering feedback before launching paid. Everyone who grabs it for free gets to keep their copy and gets future updates. The paid version will be $29 once it launches.
What's the difference between the free interactive tool and this kit?
The free tool is a single-event drag-and-drop checklist. The kit is a full multi-sheet workbook with budget formulas, RSVP tracking, vendor management, photo shot list, and a 21-page guide. They complement each other.
